Import hours from EXCEL
11. Create empty EXCEL spreadsheet (XLS/XLSX format)
An Excel spreadsheet must first be created before any hours can be imported.
When this sheet is created in Africlock, all the employees' information will already be there. PLEASE do not create any other entries on the sheet (the chance to make a mistake is huge and then you'll need to redo it again).
 
The only information that should be added is the applicable hours in each column. There are several options. If you are unsure, please phone the office for assistance.
 
'Standard time': Everything in this column will be imported as normal time, paid at a single rate.
'Short time': If the employees receive a fixed wage, the hours entered here will be deducted from their fixed wage at single rate.
'Weekday overtime': Overtime worked in the week payable at rate and a half.
'Saturday overtime': Overtime on Saturdays paid at rate and a half.
'Sunday normal shift': Normal time worked on a Sunday. This must be paid at least at rate and a half, depending on sectoral determination.
'Sunday overtime': Overtime worked on a Sunday, paid at double the normal rate.
'P/hol working day': Africlock divides pay on a public holiday between the 'Standard time' and 'P/hol working day'. Both are calculated at a single rate. If the hours are imported, it is your choice if you want to divide the hours or enter all of it in the field 'p/hol overtime'.
'P/hol overtime': These hours are paid at double the normal rate.
'Days worked (daily workers)': If employees are paid at a daily rate, it should be added here. The employees must be set up as salaried employees and the pay period must be marked as 'daily'.

This date must fall within the pay slip period. This is the date when the exception will be created.

After the empty spreadsheet was created, hours have been imported and the file was stored, it can be imported on the system.
